About the Role
A growing portfolio of businesses spanning real estate sales and recruiting, golf and hospitality, and restaurant management is seeking a proactive and highly organized Executive Assistant. This role is critical in managing day-to-day operations, streamlining administrative tasks, and ensuring leadership’s time is focused on growth, strategy, and vision.

Responsibilities
Key Responsibilities
Administrative & Scheduling
- Manage a complex calendar with precision—coordinate client meetings, business partner calls, family commitments, and community events.
- Screen, organize, and prioritize email inboxes—draft responses, flag urgent items, and ensure timely follow-up.
- Maintain discretion with sensitive information across personal and professional domains.
Travel & Logistics
- Research and book flights, lodging, transportation, and travel itineraries for both business and personal travel.
- Anticipate needs during trips—ensure all documents, confirmations, and logistics are prepared in advance.
Real Estate Operations
- Prepare, review, and manage real estate contracts and paperwork (offers, addenda, disclosures).
- Coordinate with clients, agents, attorneys, and vendors to ensure smooth transactions.
- Track deadlines and compliance dates.
Marketing & Social Media
- Assist with content scheduling, captions, and engagement across Instagram, Facebook, and LinkedIn for multiple brands.
- Maintain consistency in hashtags, tone, and branding across all businesses and lifestyle content.
- Track analytics and prepare performance reports.
Business Support
- Provide executive support spanning multiple businesses (event scheduling, vendor coordination, marketing materials).
- Draft correspondence, presentations, and internal communications.
- Assist with special projects such as event planning, community partnerships, and staff coordination.
Personal Support
- Help balance business with family priorities by managing reminders, children’s activity schedules, and household logistics as needed.
Qualifications
Qualifications
- 3+ years of experience supporting Real Estate executives or business owners.
- Strong organizational and multitasking skills—able to juggle multiple projects across different businesses.
- Tech-savvy: proficient in Google Workspace, Microsoft Office, Canva, and social media platforms.
- Experience with REIN MLS, Instanet, and Brivity required.
- Excellent written and verbal communication skills.
- High level of discretion, integrity, and professionalism.
- Real Estate License or Transaction Coordination Experience Strongly Preferred
- Ability to anticipate needs, think strategically, and solve problems proactively.
Compensation
$17.00 - $21.00 USD Hourly
