Responsibilities

  • Minimum weekly phone calls with clients, serving as the main point of the contract, logging activity in the CRM transaction file, every week, with the ultimate goal of moving the transaction forward to the desired closing date. Respond to all incoming client and collaborator communications within the same day, during normal business hours. 
  • Daily execution of pending and closing auto plans, and completing tasks efficiently, accurately, and timely, to ultimately ensure transactions close efficiently and accurately. Preparation of transactions for a timely closing is essential. Thinking and planning ahead ensures the clients and the closings are prepared for the best outcome and ultimately leads to two new closings from every transaction. 
  • Coordinate with and schedule all inspections and requirements needed for contingencies with contractors and/or vendors needed (inspectors, appraisers, etc). Responsible for obtaining all quotes, presenting to clients and agents for approval, and coordinating and scheduling all repairs needed to meet the contingencies of the contract. 
  • Coordinate all pending and closed transactions in the MLS and all other platforms with complete accuracy, meeting timelines. 
  • Owning the responsibilities of transaction coordination from beginning to end. Including reviewing contracts, utilizing systems to meet contingencies, coordinating with all parties involved, creating and sending addenda and correspondences as needed, submitting compliance and commission, and ensuring that clients and agents are well-prepared for each step of the contract-to-close process. 
  • Correspond with the Listing Coordinator for seamless handoff of clients and transactions once under contract. Continuous collaboration while under contract to ensure the transaction closes. 
  • Continuous audit of all transaction systems, tools, and files for compliance, accuracy, and quality. 
  • Works with the Operations Department to suggest and implement process improvements for the contract-to-close process.. Process improvement collaboration is expected at least monthly.  ,

Compensation

$45,000 - $55,000 USD Yearly
