Your Opportunity

We are seeking a highly motivated, detail-oriented Listing Coordinator / Assistant to CEO to support our top-producing real estate team. In this vital role, you’ll work closely with the Lead Listing Specialist to maintain a consistent listing pipeline, manage all administrative aspects of the listing process, deliver exceptional client service, and ensure that all systems and procedures run efficiently.

This position is ideal for someone who is organized, proactive, and eager to grow their career in real estate while making a significant impact on the success of the team.

Responsibilities

Daily Operations

  • Manage and review the agent's daily schedule
  • Handle all incoming calls and respond promptly
  • Maintain regular communication with the Lead Listing Agent
  • Review and manage each active listing folder

Client Care

  • Serve as the first point of contact for listing clients and inquiries
  • Schedule listing appointments and send pre-listing documentation
  • Provide appointment follow-ups, obtain signatures, schedule walk-throughs
  • Communicate regularly with clients from pre-listing through closing
  • Schedule showings, photography, inspections, and open houses
  • Collect and communicate feedback from showings and open houses

Listing Management

  • Prepare documents and marketing materials for listing appointments
  • Schedule and coordinate professional photography and pre-inspections
  • Process and review all listing documents per Standard Operating Procedures
  • Provide weekly updates to the listing specialist including:
    • Coming Soon pipeline
    • Active listings
    • Needed price adjustments
    • Open house schedules
    • Showing feedback
    • 90-day forecast
    • List-to-sale ratios and Days on Market

Systems and Processes

  • Enter and update listing information and client data into CRM
  • Apply standard action plans for open houses, price changes, and new listings
  • Identify and implement system efficiencies and process improvements
  • Maintain neat and orderly listing files and folders
  • Return all emails and phone calls promptly

Additional Responsibilities

  • Report on listing division performance at weekly team meetings
  • Attend and participate in team-building activities and annual planning events
  • Read assigned books and professional development materials
  • Attend Market Center training and events
  • Provide fiduciary-level service to all seller clients from listing through sale
  • Support agent with CMAs, listing presentations, and staging coordination
  • Coordinate home improvements, repairs, and vendors
  • Send quarterly farm mailings and client follow-up letters
  • Post new listings in office book and window
  • Track and update team goals weekly, monthly, and annually
  • Maintain updated client records in database
  • Perform occasional errands (bank, office supplies, signs, post office)

Inventory Management

  • Track and manage lockboxes, signs, marketing books, and other listing tools

Qualifications

  • Must have or obtain MA and NH real estate license within 3 months of hire
  • Comfortable handling a high volume of administrative tasks
  • Strong client relationship-building and communication skills
  • Excellent listener with the ability to anticipate client and agent needs
  • Collaborative, team-oriented mindset
  • Excellent problem-solving abilities
  • Strong organizational and time-management skills
  • Excellent written and verbal communication
  • Tech-savvy and proficient in Google Drive, CRM systems, and Microsoft Office

Compensation

$45,000 - $55,000 USD Yearly
