We are currently seeking a detail-oriented, tech-savvy In-Person Admin Assistant who thrives in a dynamic role blending creativity with everyday operations.
This role is based in our Meridian office and requires availability Monday through Friday, from 8:30 AM to 1:30 PM.
Your Responsibilities
You will play a key role in supporting our Director of Operations and ensuring the team functions seamlessly. Your tasks will include organizing storage areas, preparing client packets, coordinating client events, assisting with basic marketing efforts, streamlining processes, and yes, brewing the coffee that fuels our team. Each day brings new challenges and opportunities for you to take initiative and lead projects creatively.

Responsibilities
Prepare and Manage Team Meetings
Make sure every team meeting runs smoothly from start to finish — slides ready, microphones working, and materials loaded at least 5 minutes before we start. Keep the team on schedule and help lead the flow of the meeting. This matters because a well-run meeting sets the tone for the day and keeps everyone aligned.
Client Care Calls
Make 25 client care calls per week. These are relationship calls — simple check-ins and thank-yous that keep our clients feeling connected and appreciated. This matters because our business is built on relationships, and personal contact is what keeps clients coming back and referring others.
Office Organization & Facilities
Keep the office stocked, clean, and welcoming. That includes making coffee, changing trash, putting away dishes, wiping counters, and managing supplies. This matters because the office reflects who we are — when it’s organized and running smoothly, so is the team.
Marketing & Communication
Create social media posts, newsletters, and basic marketing pieces using Canva, Brivity, and Google tools. This matters because consistent, well-branded communication shows our clients the level of care and professionalism they can expect from our team.
Track Team Results
Keep team numbers up to date, track progress, and communicate results to leadership. This matters because clear, timely data helps us celebrate wins, stay accountable, and make better decisions.
Event Support
Be part of the setup, check-in, and teardown at four client events each year. This matters because our client events are how we stay connected in person and continue building trust and community with the people we serve.
Communication & Follow-Through
Stay on top of emails, calendars, and reminders so that every detail is handled and nothing slips through the cracks. This matters because consistent communication is what keeps the team efficient, clients informed, and our systems working the way they should.
Qualifications
- Administrative or customer service experience – At least 1 year in an administrative or client-facing role. Real estate experience is a plus but not required.
- Strong communication skills – Comfortable speaking with clients and agents on the phone, over email, and in person.
- Tech savvy – Confident using Google Workspace (Docs, Sheets, Calendar, Drive), Zoom, Canva, and social media platforms.
- Organization and time management – Able to handle multiple priorities and keep track of details without letting things fall through the cracks.
- Marketing awareness – Basic understanding of social media, email campaigns, and brand consistency.
- Professional and dependable – Shows up on time, follows through, and takes pride in a job well done.
Compensation
$18.00 - $22.00 USD Hourly
